VANTIX LOGISTICS

Terms of service

These terms apply when a customer requests or accepts a VANTIX courier service. A quote is an estimate; a booking becomes accepted only when VANTIX confirms capacity and the service.

1. Contract and authority

VANTIX Logistics is the trading name used for the service. The supplier identity shown on the accepted booking or invoice is the contracting party. The person booking warrants that they are authorised by the sender and, for a business account, by that business.

Submitting a request does not itself require VANTIX to carry the consignment. Acceptance may be refused for capacity, safety, compliance, route, packaging, access or payment reasons.

2. Quotes and charges

Public totals are shown in Australian dollars including GST. Itemised calculator lines and manager rate cards may show ex-GST components. The confirmed charge may change if addresses, dimensions, weight, quantity, timing, waiting, access, stops or handling requirements differ from the booking.

  • Waiting is charged after the first 10 minutes in started 15-minute blocks.
  • Weekend and after-hours charges apply when shown before acceptance.
  • Tolls, parking, futile attendance and undeclared handling are confirmed before invoicing where reasonably possible.

3. Customer responsibilities

The customer must provide accurate addresses, contacts, contents, value, dimensions, weight, deadlines and handling risks; package, label and secure the consignment for road transport; obtain permissions needed to disclose recipient details; and ensure safe legal access at both sites.

The customer must not tender anything listed in the prohibited and restricted goods policy unless VANTIX has expressly accepted it in writing and every legal requirement is met.

4. Pickup and delivery

Service windows and ETAs are planning estimates affected by traffic, weather, incidents, site access, customer delay and lawful directions. A deadline is guaranteed only when an authorised VANTIX representative expressly confirms that guarantee in writing.

VANTIX may rely on a named recipient, authorised site representative or documented delivery instruction. If delivery cannot be completed, VANTIX may return, hold or reattempt the consignment and charge the reasonable resulting costs after contacting the customer where practicable.

5. Proof, tracking and signatures

Tracking, photographs, scans, timestamps, GPS records and on-screen signatures support operational proof. They are evidence of the recorded handoff, not a representation that a signatory had legal authority beyond the information reasonably available to the driver.

Secure tracking links must not be shared beyond people authorised to view the delivery.

6. Specialist work

Legal delivery does not include legal advice, formal service of process, filing acceptance or a guaranteed court outcome unless separately agreed. Medical and pathology work requires a written handling plan, compliant packaging and a declared temperature or custody requirement. VANTIX does not diagnose, classify, package or certify specimens.

7. Cancellations and changes

Before driver allocation, a booking may be cancelled without a VANTIX cancellation fee. After allocation, reasonable committed route and labour costs may be charged. Once the driver is en route or has arrived, the applicable base, travel, waiting and return costs may apply. VANTIX will not charge more than the reasonable cost caused by the change or cancellation.

8. Loss, damage and claims

Report visible loss or damage as soon as possible and provide the booking reference, evidence, contents and value. A seven-day report helps investigation but does not remove rights that cannot lawfully be excluded. VANTIX may inspect packaging and delivery records and may refer an insured claim to its insurer.

Do not send cash, negotiable instruments, irreplaceable originals or unusually valuable goods without prior written acceptance and declared-value arrangements.

9. Australian Consumer Law

Nothing in these terms excludes, restricts or modifies a guarantee, right or remedy that cannot lawfully be excluded. Services supplied to consumers come with guarantees including due care and skill, fitness for an disclosed purpose and delivery within a reasonable time where no time is fixed.

10. Privacy and law

Personal, location, signature, photo and health-related delivery information is handled under the privacy policy. These terms are governed by the laws of New South Wales, Australia. The parties should first try to resolve disputes through the VANTIX complaints process before commencing proceedings.
